1. Notice at collection
Beyflo collects personal information you provide, information created when our services handle calls or messages, and limited device and usage information. We use it to provide and secure the service, create and manage accounts, process requested demos and inquiries, configure AI receptionists, route calls and leads, support customers, administer referrals, process payments, and comply with law.
Categories can include identifiers and contact details, business information, account and payment records, call audio and transcripts, calendar and booking data, lead and support content, internet activity, device information, approximate campaign source, and inferences needed to configure or improve a requested workflow. Please do not submit sensitive information to a public demo unless it is specifically requested through an approved, secure client workflow.
2. Scope
This policy covers beyflo.com, www.beyflo.com, funnel.beyflo.com, Beyflo account and client-portal features, Beyflo-operated voice and typed demos, and communications associated with those services. A client may be independently responsible for information it directs Beyflo to process in its own call workflow.
3. Information we collect
- Account and business information: name, work email, phone, organization, role, business hours, workflows, team members, and settings.
- Calls, messages, and leads: caller details, recordings, transcripts, summaries, routing outcomes, form answers, support messages, and referral information.
- Integration information: connection status, calendar availability, booking details, CRM destinations, and configuration tokens handled through secure provider flows.
- Billing information: plan, subscription, invoices, limited transaction details, and automatic-renewal consent evidence such as the consent date, disclosure version, selected plan, and browser information. Stripe processes complete payment-card information; Beyflo does not store full card numbers.
- Technical and usage information: IP address in server logs, browser and device data, timestamps, authentication events, page and feature events, error records, source URL and campaign parameters, and random session identifiers.
We collect information directly from you and your authorized users, from callers or people you introduce, automatically from browsers and service logs, from integrations you authorize, and from service providers acting for us.
4. How we use information
- Provide, personalize, maintain, and secure Beyflo.
- Answer and route calls, create summaries, schedule requested appointments, and deliver approved notifications.
- Respond to inquiries, operate referrals, provide support, and administer customer relationships.
- Process billing, prevent fraud and abuse, troubleshoot errors, and keep required business records.
- Analyze first-party usage and improve reliability, accessibility, safety, and requested AI workflows.
- Measure advertising only when optional tracking has been accepted on the funnel and no supported browser opt-out signal is present.
5. AI, calls, and recording
Beyflo-operated voice demos identify the receptionist as an AI assistant, state that the call is recorded and may be used for quality assurance and training, and ask for affirmative permission before continuing. If permission is declined or unclear, the AI is instructed not to continue the recorded conversation. Client deployments must use disclosure and consent handling appropriate to their workflow and jurisdiction.
6. Service providers and disclosures
We disclose information as reasonably needed to operate the service, fulfill your instructions, protect users and Beyflo, comply with law, or complete a business transaction. Provider categories and examples include:
- Hosting and data: Railway, Vercel, and managed Postgres infrastructure.
- Identity and security: Clerk.
- Voice and telephony: Vapi, Retell AI, Twilio, and related carriers.
- Payments: Stripe.
- Communications: Resend and configured notification providers.
- Scheduling and integrations: Google Calendar, Calendly, and other tools you authorize.
- Optional advertising measurement: Meta, only when accepted on the funnel.
We may also disclose information to professional advisers, authorities, or transaction participants where reasonably necessary and permitted by law. We do not sell personal information for money. Optional Meta measurement may be considered “sharing” for cross-context behavioral advertising under some privacy laws.
7. Google Calendar and other connected accounts
When you authorize Google Calendar, Beyflo uses calendar data only to provide or support the calendar features you request. Our use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including Limited Use requirements. You can revoke provider access in the connected account and disconnect supported integrations in Beyflo settings.
9. Retention and security
We retain information only for as long as reasonably needed for the purposes described here, including active service, customer instructions, referral attribution, billing and tax records, security, dispute resolution, and legal obligations. Retention varies by data type and relationship. We use reasonable administrative, technical, and organizational safeguards, but no method of transmission or storage is completely secure.
We retain automatic-renewal consent evidence for at least the period required by applicable law, including the California retention period when it applies.
10. Your choices and requests
You may ask to access, correct, or delete personal information, obtain a portable copy where applicable, disconnect an integration, or opt out of future non-transactional communications. We may verify your identity and may retain information where permitted or required.
Send requests to admin@beyflo.com. Authorized agents should identify the person they represent and provide proof of authority. We will not discriminate against you for exercising an applicable privacy right.
11. California privacy disclosures
California residents may have rights to know, correct, delete, limit certain uses of sensitive personal information, opt out of sale or sharing, and receive equal service when the California Consumer Privacy Act applies. Beyflo does not represent that it currently meets the statutory thresholds that make every CCPA obligation applicable; we honor supported browser opt-out signals for optional advertising measurement regardless.
For California Online Privacy Protection Act purposes, the categories collected and categories of recipients are described above. California users may request review or correction through the contact method above. We do not disclose personal information to third parties for their own direct marketing.
12. Children
Beyflo is intended for businesses and adults and is not directed to children under 13. Contact us if you believe a child submitted personal information through a Beyflo-owned surface.
13. Changes and contact
We will post updates here and change the date above. Material changes will be communicated when required. Continued browsing alone does not waive rights provided by law.
